Executive Assistant to the Dean
Position provides support for the Dean of the Beacom School
of Business, including calendar management; preparing correspondence, vouchers and reports; organizing and maintaining electronic and paper files; monitoring and responding to emails; scheduling and coordinating meetings.
Position requires: Ability to manage projects and create a
broad variety of documents and materials for executives. Exhibit a high level of professional communication skills to coordinate meetings and activities of the Dean. Ability to proactively anticipate needs and prioritize incoming issues, requests
and inquiries, including those of a sensitive or confidential
nature. Work closely with the Dean to keep the Dean well informed of upcoming commitments and responsibilities, and
issues taking place in the internal and external environments.
Good judgement to determine an appropriate course of action (referral or response) to varied situations. Ability to manage workflow independently and follow through to successful
completion. Must be able to facilitate clear communication
and maintain credibility, trust and support between the executive office and internal staff, and with external clients and
constituents. Ability to maintain confidentiality. Ability to
make travel and logistical arrangements. Knowledge of computer software applications (Excel, Work, Outlook), modern
office equipment, practices and procedures. Knowledge of
accounting principles and purchasing practices is preferred.
Dean’s Office Secretary
Duties include: Entering invoices, journal vouchers and
deposits into Banner, coordinating and processing travel for
faculty and staff, answering the telephone and responding
appropriately to requests from students, faculty, staff, potential employers and internship providers, filing, monitoring student testing, coordination and clerical support for
student evaluations, and other responsibilities as assigned.
Position requires exceptional organizational skills; attention to detail; good interpersonal skills; maintaining effective working relationships with faculty, staff and other USD
departments; a team player; effective communication skills;
and ability to problem solve and handle multiple tasks.
Knowledge of general methods and processes in areas such
as accounting, purchasing and other administrative activities; computer software applications (Excel, Word, Outlook);
